Job Responsibilities

1. Provide administrative support

• Coordinate meetings/appointments - liaise with external parties and prepare meeting documents in advance.
• Manage mailing list - send invitations and coordinate RSVPs.
• Maintain office operations, e.g. mail, supplies, equipment and facilities.

2. Support Board Secretariat - SBFF and MigrantWell

• Support board/sub-committees meetings, including scheduling, venue preparation and other logistical tasks.
• Compile meeting agenda and materials in advance.
• Initiate paperwork for appointments, renewals, cessations of directors and related board matters, as assigned.

3. Record Keeping

• Collect and record data and maintain data integrity, specifically SBFF:
  • Registry
  • Customer Relationship Management
  • Measurement & Evaluation

4. Assist with Donor Management

• Maintain donor records in DMS Lite 
• Issue TY notes and tax-deductible receipts 
• Handle regulatory submissions including donation record submission & updates to the charity portal

5. Additional administrative duties as the need arises.  

Job Requirements:

• Diploma or equivalent with 2 years of work experience
• Strong organisational, communication, problem-solving, and multitasking skills, as well as the ability to work effectively both independently and as part of a team.
• Proficient in MS office & Excel
